QuickBooks Online

Online shortcut: Settings ⚙ → Export data downloads the available reports and lists together. Extract the ZIP, check what is in it, and export anything missing separately. Intuit: export reports and lists

1. Lists: Chart of Accounts, Customers, Vendors, Products & Services (.xlsx or .csv)

Reports → search for Account List, Customer Contact List, Vendor Contact List, Product/Service List and Trial Balance → Export ▾ → Export to Excel, one file each.

2. Transactions: the actual bookkeeping entries (.xlsx or .csv)

Reports → Journal → set the report period to cover everything you want to bring over → Export ▾ → Export to Excel.

It has to be the Journal on Online. Its General Ledger lists each account's postings separately and never says which line pairs with which, so nothing in it can be imported.

QuickBooks Desktop

1. Lists: Chart of Accounts, Customers, Vendors, Items (.iif)

Windows: File → Utilities → Export → Lists to IIF Files, check Chart of Accounts, Customer List, Vendor List, Item List → Save.

Mac: File → Export → Lists to IIF..., check the same boxes → Save.

2. Transactions: the actual bookkeeping entries (.xlsx or .csv)

Windows and Mac: Reports → Accountant & Taxes → Journal (preferred) or General Ledger → set the date range to All → Excel button → Export to a new worksheet → Save. Take the Trial Balance from the same menu the same way; it is what we check every account against.

What comes across: your chart of accounts (with its numbers and types), customers, vendors, products and services, and every transaction in the report you export. A bill or invoice split across several accounts arrives as one document, coded line by line rather than one row per account, so it ages and pays as the one bill or invoice it started out as. Classes come across on the lines that carry them, and can be corrected in bulk afterwards from Clean Up → Reclassify transactions, by account or by class.

Set Accounting method in the report's Customise panel to the basis your books are actually on (Accrual for most), and use the same basis for all three: a Journal on one basis and a Trial Balance on the other will not tie out. The import still completes: we show you which accounts disagree and by how much, so you can tell a wrong report from wrong data. Nothing is rolled back for a source mismatch, only for books that don't balance on their own.

There is no .iif on Online; the Excel report exports are the whole path. Amounts must all be in one currency. Neo-Capital books hold a single currency, and a multi-currency export is refused rather than flattened.

Inventory: we value stock FIFO, the same method QuickBooks Online uses, so your cost of sales is calculated the way it was there. Quantities and costs still need a separate opening count (a report export carries balances, not the batches behind them); after that, every sale draws from your oldest stock first. Check which method your QuickBooks company actually uses before comparing: Intuit documents both FIFO and Moving Average Cost, and Desktop Enterprise has its own FIFO options.

What doesn't come across: attachments, recurring templates and any bank connection stay in QuickBooks and are set up again here.

Check the documents, not just the totals. A ledger export does not always say which invoice a payment settled, so a correct A/R or A/P total does not mean each invoice and bill carries the right remaining balance and due date. Keep A/R and A/P aging detail at the same cutoff and check them document by document after importing.

Only bringing over what is still owed? Use the unpaid invoices and unpaid bills templates rather than dropping document exports into the full-history migration. Coordinate that with your other opening balances so A/R and A/P are brought in once. A Trial Balance uploaded for comparison does not itself create opening balances.

Import from

This export has no sales-tax column. Sales come in tax-inclusive, with no tax liability worked out from them. Check your first import against your Shopify totals.

1. Transactions

In Shopify admin → Settings → Payments → View payouts → View Transactions, choose Export, select the period and CSV format, then Export balance transactions. Download the file from Shopify's email and keep the original headers, including every activity type for the period.

If you need the tax split, use the payout export from Finances → Payouts → Export instead, which states it and is the older, well-tested path. Do not rename either file's columns to fit the other: they mean different things. With several payout currencies, select the one matching your books.

2. Lists

Products → Export → All products, then choose CSV and export; keep the variant rows together with their product information.

Customers → Export → All customers → CSV for Excel, Numbers, and other spreadsheet programs → Export customers. Large exports arrive by email.

Add the product and customer CSVs together below, and check the preview identifies them as products and customers before continuing.

The check: keep the Shopify Payments activity report from Finance → Documents for the same period. It is a supporting report, not a replacement transaction upload, so compare the payment-account movement and payouts with the imported activity and your bank deposits. Shopify: activity report

What the lists carry: customer names, email addresses, phone numbers, default addresses and notes; product variants with their names, SKUs, selling prices, taxable flags and inventory-tracking kind. They do not establish stock quantities or purchase costs.

Other payment providers: Shopify Payments covers the money it processes. Bring PayPal or another gateway's activity through that provider's import separately. Not established by these files: opening quantities and costs, product images, storefront design, customer passwords, marketing preferences, subscriptions or a complete order history. Payment activity alone also cannot establish every order's sales-tax split.

Import from a spreadsheet

Every template carries two example rows so you can see the shape rather than read a description of it. Replace them with your own data. If you leave one in, it is recognised on the way in and reported as the template's example rather than imported.

Four of the eleven wait on something else, so import in this order:

  1. Chart of accounts · first, and before either of the next two. Both of them name accounts in it, and a row pointing at an account that is not there yet is reported rather than guessed.
  2. Unpaid bills and the opening trial balance · after the chart, in either order. Neither depends on the other.
  3. Bank & card opening balances · any time, but only once the account exists in Bank Feeds. That is a register, not a line of the chart, so importing the chart of accounts does not create it.
  4. Unpaid invoices · any time, first if you like. They wait on nothing: a customer that does not exist yet is created as its row is read.

The other six (customers, vendors, products & services, employees, jobs and classes) are plain lists and can go in any order at all.

A full conversion is four files, and they must not overlap. Unpaid invoices and unpaid bills carry your A/R and A/P; Bank Feeds carries your bank and card balances; the opening trial balance carries everything else: inventory, fixed assets, loans, equity. Stating the same figure in two of them counts it twice, and the books would still balance while being wrong, so a row that belongs in another file is reported rather than imported.
