What you use

Turn parts of Neo-Capital on and off. Anything you switch off leaves the sidebar, the menus, and every other place the app offers it: dashboards, the Report Center, exports, the cleanup checklist. Your records and reports are never touched, a figure with a real balance behind it still shows, and the pages stay reachable from Search. Turn it back on here whenever.

Setup switched these on from your industry. Turn off anything you do not do.

Sales & customers

Invoices & accounts receivable Bill customers and track what they owe you. Estimates & sales orders Quote work before you invoice it. Sales receipts Sell over the counter, paid at the time, so it never becomes a receivable. Progress billing Bill an estimate in draws: a deposit now, the rest as the work lands. Operational dashboard The second dashboard tab: orders, declared costs and ad spend beside the sales they bought, read from your sellers rather than from your books. Off leaves the Accounting Dashboard on its own, with no tab strip.

Purchases & vendors

Bills & accounts payable Enter vendor bills and track what you owe. Purchase orders Order from a vendor before the bill arrives, and track what is still on order. 1099 contractors The Contractors list, the 1099 Summary under Tax and its export, and the 1099-NEC candidates at tax time. Products, stock & assets

Products & services Keep a list of what you sell, with prices and costs. Inventory & cost of goods sold Track stock on hand and what it cost you. Kept on the Products & services list, so it needs that switched on too. Equipment & depreciation Capitalize equipment and depreciate it over time.

Work you track

Time tracking Log hours against jobs and customers, and bill the billable ones. Hours only; this isn't payroll. Jobs & projects Group income and costs by job, so you can see what each one made. Job reports and the job picker on transactions. Cost codes Split a job into phases or trades, give each a budget, and track spend against it. Needs Jobs & projects. Money & planning

Debts & loans Track loans, credit lines and their balances, with what you have paid down and what is interest. Budgets & forecast Set a figure per account for the year and track what actually happened against it, and project cash and profit forward from your trends.

Tax

Sales tax Charge it on invoices, track what you owe, and remit it. Multi-state sales tax The economic-nexus tracker: where your sales have crossed each state's threshold and you have to register. Runs on imported orders (Shopify, Amazon, a CSV), not on your invoices, so it is a separate question from Sales tax above. Either one opens the Sales Tax page, and each brings its own half.

Tools & communication

AI features The assistant, receipt reading, and the AI providers on Integrations, Neo-Capital AI and your own API keys alike. Off means the program never offers any of it. Email The Email section, and every place the program offers to send one: emailing an invoice or estimate, sending a statement, sharing a report. Off means it is never offered anywhere.

Preferences

Account numbers Off by default. Most books are kept by account name alone. On, you get the conventional numbers (1000 Checking, 6000 Auto) and every new account is given one. Numbers already stored are kept either way, so switching back and forth never loses them.

Business type Your legal structure decides which federal return you file and how profit is taxed. Leave it unset and we won't assume one. Tax accounting method Applies to Schedule C, the Estimator, Year Close, and the CPA package. P&L and the other management reports always use accrual. Effective tax rate Your blended federal + self-employment rate, as a percentage. Used only to estimate what a deduction SAVES you; it never changes the books. Leave blank for the 25% default. 1099 filing threshold Dollars per contractor per year, before a 1099-NEC is flagged. Leave blank to follow the IRS figure for whichever year you are viewing: $600 through 2025 and $2,000 from 2026. Set it lower if you file 1099s below the threshold as a matter of policy; it never changes the books. Filing status Your personal return's status. Sets the tax brackets the estimator uses, plus the thresholds for the 0.9% Additional Medicare Tax and the qualified business income deduction. This is a specified service business Health, law, accounting, consulting, athletics, financial services, or any business whose main asset is the owner's reputation or skill. Above the income threshold these lose the qualified business income deduction entirely.

Tax profile drives the estimator and the Tax hub

Last year's total tax Form 1040 line 24 (total tax). Sets the safe-harbor floor: pay 100% of it (110% above $150k) and there's no penalty. State income-tax rate Percent. A flat assumption on business profit plus other income. Blank if your state has none.

Other taxable income Annual W-2 wages, a spouse's income, interest: anything on the return that isn't this business. It fills the brackets before the business profit does. Tax already withheld Annual federal withholding from a paycheck. It counts toward the quarterlies, so the estimate only asks for the rest.

Itemized deductions Leave blank to take the standard deduction for your filing status and year. The estimator applies it automatically. Home office, square feet Space used regularly and exclusively for the business. Simplified method: $5 per sq ft up to 300 (Schedule C line 30). Blank = none.

Vehicle deduction The IRS allows one or the other. Under standard mileage the vehicle-cost accounts come off Schedule C; parking and tolls stay either way. Estimator Which engine the Tax hub and the estimator use by default.

Qualified business income limits (only above ~$200k taxable income)

W-2 wages the business pays Above the §199A threshold the deduction is capped by wages paid. Qualified property basis (UBIA) Unadjusted basis of depreciable property, the other half of the cap.

What do you sell?

We have answered these from your industry. Change any that don't fit. Everything here is reversible from What you use later.

Products, services, or both? Holding stock is what creates cost of goods sold; services alone never do, so this is what decides whether you get inventory.

Do you want a price list of your products and services? Save each thing you sell with its price, so adding it to an invoice is one pick and your P&L shows what actually sold. Do you quote work before you do it? Estimates and sales orders, and the option to bill one in stages. Do you charge sales tax? Tax on invoice lines, what you owe on the balance sheet, and remitting it. Do you sell into more than one state? We watch each state's economic-nexus threshold so you know when you have to register. Separate from charging it: this runs on imported orders.

How do you get paid, and how do you pay?

This decides whether your books carry receivables, payables, or neither.

Do you invoice and get paid later? Bill customers on terms and track what they owe you. Do you take payment at the time of sale? Over the counter or online, paid when sold, so it never becomes a receivable. Do you enter vendor bills before paying them? If you just pay as you go, leave this off. Your spending is recorded either way. Do you order from vendors in advance? Purchase orders, and what is still on order when the bill arrives. Do you pay contractors? We track what you pay them and flag who needs a 1099 at year end.

What else do you track?

Each of these adds a section to the program. Anything you turn off you can turn back on any time.

Do you work in jobs or projects? Group income and costs per job, so you can see what each one made. Do you track hours worked? Log time against jobs and customers, and bill the billable hours. Hours only. We don't run payroll. Do you drive for work? Mileage is often the largest deduction for the people who do. Do you buy equipment that lasts more than a year? Capitalise it and depreciate it, instead of expensing it all at once. Do you split the books by department, location or line of business? Tag transactions with a class and read the P&L split by it. Do you want AI features? The assistant and receipt reading. Off means the program never offers them. Nothing is sent to a model either way unless you ask it to be.

How is your business structured?

This decides which return your books are built around, and whether you owe self-employment tax. Not sure? Most solo owners are a sole proprietorship.
