About Neo-Capital AI

What it is and does
  • An AI bookkeeper we run for you. There's no AI account to open and no API key to paste: subscribe and it works, on every page, in the corner.
  • It reads your books to answer questions ("what did I spend on fuel last quarter?"), sorts and categorizes transactions, finds deductions, explains reports and reconciliations, and helps with ads.
  • It turns on AI Vision for your receipts and bills: every upload is read by the AI and the vendor, date, total and tax are filled in for you, ready to confirm.
  • It never changes your books on its own. Anything it wants to do (categorize, create a rule, reconcile) is proposed as a card you review and apply, and every change it makes is listed under Actions, where most can be undone.
How credits work
  • Each plan includes a monthly allowance of credits, renewed on the 1st: AI $19/mo for 200 credits; AI Growth $49/mo for 600 credits; AI Advanced $129/mo for 1,800 credits.
  • Credit packs top you up when you need more (500 credits for $40, 2,000 credits for $150). Packs never expire, and are only used once the month's allowance is gone.
  • An action costs what it does, not a flat fee: reading a receipt is a quarter of a credit, a report analysis is 3, sorting or scanning transactions is 1 credit per 250 rows, and a chat costs what its answer took, from 1 up to 10 credits.
  • Usage shows on this card and in the AI panel's Usage view. When the credits run out it stops and says so; nothing is charged beyond your plan and packs.
What it does with your data
  1. When you ask something, your message and the parts of your books needed to answer it are sent to our AI provider to produce the answer.
  2. The provider handles it under its business terms, which do not use it to train its models. Neo-Capital keeps a record of how many credits each request used and what it cost, for your usage meter and billing.
  3. Nothing runs in the background without you: it works when you ask, or when you start a job like a deduction sweep.

What it is and does
  • A Meta Ads workspace inside Neo-Capital. Campaigns, ad sets, ads, audiences and budgets are managed here, beside the books, instead of in Ads Manager.
  • Reports tell the period's story: spend, results and return against the period before, the conversion funnel, daily trends and your best and worst campaigns. A/B experiments pair two campaigns, track which wins and let you pull the loser.
  • Autopilot rules watch your campaigns for you and act within limits you set: a daily cap, a cooldown between actions, alert-only or dry-run until you trust them.
  • An AI strategist that knows your brand answers questions, analyses the account and builds campaigns with you. Everything it launches starts paused, and any change it wants to make at Meta is a card you approve or reject first.
  • Every change made at Meta, by you, a rule or the strategist, is logged with what it was before, and most can be undone from that log.
What it needs and costs
  • A connected Meta Ads account, from the Meta Ads card on this page.
  • $29 a month, added to your subscription. Cancel any time from this card; the unused part of the month is credited back.
  • The strategist's conversations use Neo-Capital AI credits (a reply costs 1 credit, a full account analysis 3), or run on your own AI key if you have added one.
  • It never posts to your books. Ad spend reaches the ledger through your bank feed like any other charge, so nothing is counted twice; the Meta card's daily spend feeds the operations dashboard.
What it does with your data
  1. Campaign, audience and performance data is read from Meta's Marketing API with the access you granted on the Meta Ads card, and changes you approve are written back the same way. That API is the only place the Ads suite can reach.
  2. When you talk to the strategist, your message, the campaign data it needs and your brand notes are sent to our AI provider to produce the answer, under business terms that do not use it for training. Neo-Capital keeps the credit count for your usage meter.
  3. Rules run once a day at most, and only within the limits you set. Nothing else runs in the background.

About Neo-Capital Email

What it is and does
  • The sending service behind your books. Invoices, estimates, statements, payment reminders and your correspondence go out from the page you are on, with nothing to set up: no mail account to connect and no server to configure.
  • Mail is delivered from our domain, send.neocapital.app, with your business name as the sender and your own address as the reply-to, so replies come straight to you. Your logo and details go on every message.
  • Every send is logged with its status, and a bounce is recorded against the message that bounced, so an invoice that never arrived is never mistaken for one that did. The Usage button on this card opens that log.
  • Included with your plan, at no extra charge.
Sending limits
  • Pro and Firm books can send 2,000 emails a month and 200 a day. Basic books can send 500 a month and 20 a day.
  • The limits protect the shared sending domain, not a cost: one account sending in a burst is what gets a domain blocklisted for everyone. Nothing is lost at a limit; sends resume as the day or month rolls over, and the meter on this card shows where you stand.
  • Prefer your own mail server? Add it on the Email SMTP card and this service steps aside; switch back any time.
What it does with your data
  1. To deliver a message, the recipient's address, the subject, the body and any attached PDF pass through our email provider, which handles them under its business terms.
  2. Neo-Capital keeps the send log: who it went to, what it was, when, and whether it was delivered or bounced. It does not keep copies of your customers' replies, which go to your own inbox.
  3. Nothing is sent without you: a message goes out when you send it, or when a schedule you set up runs, such as statement runs and payment reminders.

Your books on your phone, the same books, not a copy. Anything you log on the phone is in the books you open at your desk.

What it does
  • The dashboard, pocket-sized. Cash, money in and out, what you are owed and what you owe, with the period drawn as a flow diagram. You choose which cards it shows and in what order, which is the Manage phone dashboard button on this card.
  • Capture it as it happens. An expense in the checkout line, a payment on the job, an invoice or an estimate before the truck has left.
  • Receipts by camera. Photograph it and the same reader the desktop uses pulls out the vendor, date and amount; it lands in Review to post.
  • Mileage at a tap. A drive logs against a job and is priced at the IRS rate for its year when the report is run.
  • It works where the signal does not. Entries queue on the phone and send themselves when you are back in range.
  • Locked to your face. Face ID or a fingerprint stands in front of it, so a lost phone is an inconvenience rather than a disclosure.
How to put it on a phone
  1. On the phone, open its browser and go to neocapital.app/m.
  2. Sign in with the same email you use here.
  3. Add it to the home screen. On an iPhone that is Safari's Share button then Add to Home Screen; on Android it is Chrome's ⋮ menu then Install app.
  4. Open it from the home screen. That first launch is what this card counts, until it happens we can see the phone has visited and nothing more.
Worth knowing
  1. There is no app store. It runs from the browser, so there is nothing to download and no update to chase; it is current every time it opens.
  2. It cannot track a drive in the background. A page pinned to a home screen gets no background location on either platform, so mileage is a trip you start and stop, not one the phone notices for you.
  3. An uninstall is silent. Neither platform tells us when an app is removed, which is why this card leads with when a phone last opened it rather than with a count of phones it claims are out there.

About Shopify

Why connect it
  • Every payout arrives decomposed: gross sales to revenue, sales tax to the liability you owe, the processor's fee to a deductible expense.
  • The net deposit is matched to the one your bank shows, so the money is counted once instead of twice.
  • This is the job people pay Synder and A2X $50–100 a month to do.
  • No access token to copy: Shopify retired admin-created custom apps on 1 January 2026, so this uses a Client ID and secret you can always see again, and mints short-lived tokens itself.
What it does with your data
  1. Each payout is read from Shopify Payments, along with the orders behind it.
  2. It is split four ways: gross sales to revenue, sales tax collected to the liability you owe the state, the processor's fee to a deductible expense, and the net that left for your bank.
  3. All four land on this connector's own account and net to exactly zero, so the payout by itself changes no balance; it only says where the money went.
  4. The net leg is then matched against the deposit on your bank feed. If no deposit matches once the settlement window has passed, it is flagged on Health rather than guessed at.
How sales and product cost reach the Operational Dashboard and Nexus
  • For every order, each line's product is read with its quantity and what the customer paid after discounts.
  • The product's cost comes from its Cost per item in Shopify, times the quantity sold. Added up for the day, that is the dashboard's Product cost.
  • Reading cost needs Shopify's inventory permission. Without it, orders still import, just without their cost.
  • The cost is taken when the order comes in and then kept. Changing a product's cost later does not rewrite past days. Shopify only knows a product's current cost, so orders pulled long after a cost change get the new cost.
  • No cost in Shopify? The same SKU in your Products & Services is used instead.
  • Still no cost? That sale counts as cost unknown, never as free. The dashboard shows how much of the day's sales have a known cost, so a margin is never worked out as if some items cost nothing.
  • Only the first 50 lines of a single order are read; an order longer than that is flagged.
  • US orders also go to Nexus by the state they shipped to, net of refunds. These are sales where you collect the tax, so they count toward each state's threshold and toward what you owe it.

Accurate as long as every product has a Cost per item in Shopify.

Choosing which products come in
  • Import products opens a mapper: every Shopify product with its variants, ticked one by one. Search by name or SKU, filter by type, or show only what is new to your books.
  • Where each one goes is yours to say: what it matched (SKU first, then name), a new product under a name you choose, or one of your existing products — which is how a listing named differently in Shopify gets linked instead of duplicated.
  • What comes over is yours too: prices (or leave yours alone), the SKU link, unit cost as a starting figure, pictures, and whether products arrive as inventory or non-inventory.
  • Nothing is written until you press Import, a long catalogue goes in batches, and re-running updates by SKU rather than duplicating.

Stripe publishes no running balance, so each row is checked against its own arithmetic and the run says that the total could not be tied to a figure Stripe states. A balance-transactions CSV still imports, and the two decompose identically: whichever door the same money comes through, it is recognised and not counted twice.

About Stripe

Two ways to connect Stripe
Connect account: bring your Stripe activity into your books

For money you already take through Stripe: your website's checkout, Stripe's own invoices, payment links, subscriptions. You paste a read-only key from your Stripe dashboard, and Neo-Capital imports what happened in your Stripe balance. Each sale is split into the full amount and the fee Stripe kept, refunds come off revenue, and each payout is matched to the deposit on your bank feed so it isn't counted twice. The key can only read. It can't charge anyone or move money.

Connect invoicing: let customers pay your invoices by card (Get Paid)

For invoices you send from Neo-Capital. You sign in to Stripe (or create an account) through Stripe's own setup; there's no key to paste. Your invoices then carry a Pay now button, and you can send a payment link on its own. When a customer pays, the invoice is marked paid in your books by itself, with Stripe's fee recorded as an expense, and Stripe pays the money out to your bank as usual.

What it costs: Stripe's usual card fee, plus 1% to Neo-Capital on each payment made through a Pay now link. Both come out of the payment (your customer pays the invoice amount) and are recorded together as a merchant fee in your books, so your deposits still match.

The difference: Connect account reads payments that already happened in Stripe. Connect invoicing is a new way to collect payment for invoices you create here. They're separate connections, and either one works on its own.

Why use Connect account
  • Stripe nets its fee out of every deposit. Imported as-is, that understates your revenue AND hides a deductible expense, both at once.
  • The Balance Transactions API states gross, fee and net per charge, so the split is read, never estimated.
What Connect account does with your data
  1. Balance transactions are read one row at a time: a charge, a refund, a standalone fee and a payout are four different things in one file.
  2. A charge splits into gross revenue and the fee Stripe took. A refund is booked against revenue, not as an expense. Money you gave back is not a cost of doing business.
  3. Every row is booked to what it actually did to your Stripe balance, and the importer never second-guesses a row that ties to itself.
  4. A payout is not income at all: it is cash leaving Stripe for your bank, so it books as a transfer and matches the deposit on your bank feed. That is what stops the same money being counted twice.

About Square

Why connect it
  • Square exports a SALES record, not a balance record: a cash sale sits in the same file as the card sales but never touched Square's balance.
  • Booking every row inflates the account by the till takings; skipping the non-card rows loses that revenue and the tax collected on it. Both are handled: the sale is booked and the non-card tender taken straight back off.
  • Tips and gift cards are money held for somebody else, so they land as a liability rather than as revenue.
What it does with your data
  1. Payments and payouts are read together, including the cash and gift-card tenders that never touched Square's balance.
  2. Card sales decompose into gross, tax and fee. Non-card tender is booked as a sale and taken straight back off, so the row nets to zero while the revenue and the tax collected on it are still recorded.
  3. That offsetting leg lands in review as the question it actually is: which cash account did this go to.
  4. Tips and gift cards are money held for somebody else, so they book as a liability rather than as your revenue.
  5. Square publishes no official column list for its exports, so our reading of them is checked rather than trusted: a file whose columns aren't exactly what we expect is refused instead of guessed at.

About PayPal

Why connect it
  • PayPal's Transaction Search reaches back three years and states the fee per transaction.
  • Its running balance column lets each row be checked individually, which catches a row we MISREAD, not just a row we lost.
What it does with your data
  1. Transaction Search is paged in 31-day windows across the range you ask for, up to PayPal's three-year limit.
  2. Each row states its own fee, so gross and fee are read rather than estimated.
  3. PayPal's running balance is then checked row by row. A total-only check catches a row we lost; a per-row check catches a row we MISREAD. If the walk disagrees at any point, the import refuses rather than importing something that does not tie.
  4. A withdrawal to your bank is matched against the deposit on your bank feed. But not every outgoing row is a withdrawal. A PayPal balance also pays for things, and a shipping label bought out of it is an ordinary deductible expense, so it goes to review to be categorised rather than being hidden inside a transfer that nets to nothing.

About Amazon

Why connect it
  • A settlement is Amazon's own statement of ONE deposit, so what lands in your books is what actually happened: gross sales, the fees Amazon took, and the deposit itself as a transfer that pairs with your bank line.
  • MARKETPLACE TAX IS HANDLED THE WAY IT ACTUALLY WORKS. In most states Amazon collects the sales tax and remits it for you, so it appears twice, once collected and once withheld, and both hit the liability so it nets to zero. You owe nothing, and your books say so.
  • Advertising, storage and reimbursements land in review with Amazon's own wording, for you to put in the account you keep them in.
What it does with your data
  1. Amazon issues a settlement report at the close of each settlement period. This lists what it has already issued rather than requesting anything.
  2. Every line becomes its own row on a clearing account: sale, tax, fee, promotion. The deposit leaves as a transfer, so the settlement nets to zero and only the deposit meets your bank feed.
  3. Rows land in review and are categorised by your rules. Nothing posts to your ledger unattended.
  4. THE LINES MUST ADD UP TO THE DEPOSIT AMAZON STATES, to the cent. If they do not, we have misread the report and it REFUSES rather than importing a figure we made up.
How sales and product cost reach the Operational Dashboard and Nexus
  • Besides settlements, your orders are read: each product, how many, and what the customer paid after promotions. That needs the Inventory and Order Tracking role on your Amazon app. Without it, settlements carry on as before.
  • Amazon only lets orders be read slowly, so a first pull of a busy month can take a few runs. Each run carries on from where the last one stopped.
  • Amazon keeps no product cost, so the cost is the one on the item with the same SKU in your Products & Services, times the quantity. Enter a cost there once and it serves Shopify, Amazon and Etsy alike.

Opens the mapper: pick the listings and variations you want, say where each goes, and choose what comes over. Matched on SKU, so re-running updates rather than duplicates. Etsy states no cost of goods and no stock-tracking flag, so listings arrive as non-inventory products with no unit cost. Connected before this existed? Reading listings needs a permission Etsy grants at sign-in, so press Sign in to Etsy once more. The ledger sync is unaffected.

About Etsy

Why connect it
  • Etsy's payment account ledger is what actually happened to your money: a sale's proceeds, each listing and transaction fee, and the deposit to your bank, rather than a list of what somebody bought.
  • Every entry lands as its own row on a clearing account, so the fees are deductible expenses instead of vanishing into a net deposit.
  • The deposit leaves as a transfer, which pairs with the line your bank feed brings in, so the cash is counted once.
What it does with your data
  1. We read the ledger for the window, the same list Etsy shows you under Payment account, oldest first.
  2. Each entry becomes one row: sale, fee, refund, deposit. Anything Etsy words in a way we do not recognise reaches review whole, read by direction only.
  3. EVERY ENTRY CARRIES ETSY'S RUNNING BALANCE, and we rebuild it. If our reading disagrees with Etsy's own figure by a cent, nothing is imported.
  4. SALES TAX IS NOT SPLIT OUT, and mostly does not need to be: Etsy collects and remits it for you in every US state with a marketplace facilitator law, so it never reaches your account. What stays inside gross is shipping tax and the few places Etsy does not cover.

  • Each account is linked to one of yours, with a start date, so switching a feed on over statements you already imported does not duplicate the overlap.
  • Transactions then arrive on their own, every few hours, into review. Nothing posts to your books until you have looked at it.
What it does with your data
  1. Plaid's own window opens on Bank Feeds and you sign in at your bank there. It hands back a token; the banking password never reaches us.
  2. Each account the bank shares is linked to one of yours, with a cutover date so nothing dated before it is ever imported.
  3. Transactions arrive in review and are categorised by your rules, exactly as an imported statement would be. Nothing posts to the ledger unreviewed.
  4. Pending charges are skipped on purpose: the bank re-issues them under a new id when they post, so importing both would put the same purchase in twice.
  5. If the bank later corrects or withdraws a transaction, that is applied only while the row is still sitting in review. Once you have accepted it, it is in the ledger, so the change is reported to you instead, and never restates a period you have closed.

Why connect it
  • Gusto's own General Ledger Mapper is free and does the mapping on THEIR side, against a chart of accounts you upload once, so payroll arrives already coded to your accounts, by you, not guessed at by us.
  • Wages, employer taxes, benefits, deductions and net pay all come through, and can be split by job, department or project.
  • Contractor payments export the same way.
What it does with your data
  1. You upload your chart of accounts to Gusto once, and map each Gusto category to one of your accounts. Gusto remembers it.
  2. After each payroll, download the mapped CSV from Gusto and drop it here.
  3. We read it as ONE journal entry and show you every line before anything posts. Nothing is decomposed or re-interpreted; the mapping is yours.

Why connect it
  • Every invoice you email can carry a Pay now button, plus a payment link you can send on its own: a text, a chat, a reminder.
  • A card payment posts itself to your books when it clears, so the same money is never keyed in twice.
  • This is a SEPARATE connection from the API key on this card. That one reads your Stripe activity into the books; this one lets your customers pay you.

What it costs: Stripe's usual card fee, plus 1% to Neo-Capital on each payment made through a Pay now link. Both come out of the payment (your customer pays the invoice amount) and are recorded together as a merchant fee in your books.

Fiscal year & accounting method

Which month your financial year begins, usually January, and usually the same as your income-tax year. You'll pick the date your books start in this program on the next step.

This drives your tax figures. Your management reports can be read either way from a toggle on each report.

When do your books start?

The date this program starts from, not the shape of your fiscal year, which you set on the previous step. You'll enter opening balances as of this date.

Branding & look

Your logo and accent color appear on invoices, statements and PDF reports. The theme and chart style are how the program looks to you.

Logo PNG, JPG, GIF, or WebP, up to 5 MB.
Light or dark, and how charts are drawn. Both can be changed any time from the gear menu in the bottom-left.

Subscription: software, memberships. Other recurring charge: ads, rent, utilities. Both are recurring expenses under Recurring → Expenses; the Subscriptions tab shows subscriptions, and the others too when you include them there. Not an A/P bill; nothing is owed or posted.

When the bill or invoice falls due, and any early-pay discount. Manage them all from the Lists button on Customers or Vendors.
