Report a problem

Off by default. You can change this here any time.

Reports carry your app version, OS and license ID, never your books. Error details are scrubbed (names, amounts and text redacted) before sending.

Book file

One .neobooks file holding this whole business. Send it to your accountant, move it to another computer, or keep a copy you can come back to.

Export this business

Packages Lumen Studio: every account, transaction, journal entry, customer, invoice and bill, plus uploaded documents, into one file. It downloads to your computer.

Import a book file

Import it as a new business, or replace an existing one with a returned copy. Its current books are saved first, so it is undoable.

Restore points

A saved copy of your books you can go back to. Take one before an import, a merge, or anything else that changes a lot of records at once.

Checking your plan…

Split this transaction

Slice one transaction into multiple categorized lines: e.g. a $400 Costco run becomes $250 office supplies + $150 personal groceries. Just type the amounts. Each line goes the same direction as the original, so an expense stays an expense. Use a minus only for a line that runs the other way, like a fee inside a deposit. Each split shows up as its own line in your P&L.

Accountant package

One-click year-end ZIP for your CPA. Includes:

  • P&L for the year (income, expenses, net)
  • Balance sheet snapshot (assets + liabilities)
  • Full transactions ledger (every row, with categories)
  • 1099-NEC candidates (contractors paid ≥ $2,000)
  • Mileage log + IRS deduction (if you track mileage)
  • Documents folder (W-9s, receipts, anything you've dropped in)
  • A README the CPA can read to know what each file is

You'll choose where to save the ZIP when you click Build. A copy is also kept with your backups.

Backups

Save a snapshot, run automatic backups, or restore. Your manual backups are never auto-deleted.

Save a backup now
Save to (optional, defaults to your backups folder)
Automatic backups
Also copy every backup to a folder (optional, for cloud sync)
Point at a cloud-synced folder (Dropbox / OneDrive / iCloud) to keep your books backed up off this computer.

Restore from a backup

Restoring replaces your current data. A safety snapshot is saved first, so you can undo. Use Load from a file… for a backup saved elsewhere.

What you use

Turn parts of Neo-Capital on and off. Anything you switch off leaves the sidebar, the menus, and every other place the app offers it: dashboards, the Report Center, exports, the cleanup checklist. Your records and reports are never touched, a figure with a real balance behind it still shows, and the pages stay reachable from Search. Turn it back on here whenever.

Setup switched these on from your industry. Turn off anything you do not do.

Branding

Your logo and accent color appear on every PDF you export: invoices, statements, and reports.

Owners

No owners yet. Add them so a draw can say whose it is.

Data Location

Where Neo-Capital keeps its database. This is the whole app: every business on this computer lives here. Changes take effect when you restart.

/data

Locked by the NEO_CAPITAL_DATA_DIR environment variable. Change it there, not here.

If a sync app copies this folder, choose Yes. Neo-Capital then saves your books in a way sync apps can copy safely. Changes take full effect when you restart.

Custom theme

Pick your colors. The app updates live as you choose, and changes save automatically.

Welcome to Neo-Capital

First, who are you? Your name goes on the invoices, 1099s and reports you send out.

What are these books for?

What kind of business is it?

This is the big one. It decides your categorization rules, your Schedule C activity code, and which tools we turn on. Pick the closest match; everything stays editable later.

Something else

What do you sell?

We have answered these from your industry. Change any that don't fit. Everything here is reversible from What you use later.

How do you get paid, and how do you pay?

This decides whether your books carry receivables, payables, or neither.

What else do you track?

Each of these adds a section to the program. Anything you turn off you can turn back on any time.

How is your business structured?

This decides which return your books are built around, and whether you owe self-employment tax. Not sure? Most solo owners are a sole proprietorship.

Business details

These appear on your invoices, statements and tax forms.

Fiscal year & accounting method

Which month your financial year begins, usually January, and usually the same as your income-tax year. You'll pick the date your books start in this program on the next step.

This drives your tax figures. Your management reports can be read either way from a toggle on each report.

When do your books start?

The date this program starts from, not the shape of your fiscal year, which you set on the previous step. You'll enter opening balances as of this date.

Branding & look

Your logo and accent color appear on invoices, statements and PDF reports. The theme and chart style are how the program looks to you.

Logo PNG, JPG, GIF, or WebP, up to 5 MB.
Theme
Light or dark, and how charts are drawn. Both can be changed any time from the gear menu in the bottom-left.

Review & finish

Here's how we'll set your books up. Anything here is changeable later in Business settings.

Make recurring

Tracks this charge as it repeats: each new one is matched to it when it lands, and you are told if it changes price or stops. Nothing is posted, and this transaction is not categorised by it.

The charge
Subscription: software, memberships. Other recurring charge: ads, rent, utilities. Both are recurring expenses under Recurring → Expenses; the Subscriptions tab shows subscriptions, and the others too when you include them there. It is not a bill: nothing is owed or posted.

New payment term

When the bill or invoice falls due, and any early-pay discount. Manage them all from the Lists button on Customers or Vendors.

Return to My Account?

This takes you back to your account on neocapital.app. Your books stay saved with your subscription and open right where you left off.

Activity

What the AI and the program did for you. Undo is here for as long as each change allows.

Add Neo-Capital AI

This is added to your existing Neo-Capital subscription: same card, same renewal date, one invoice. The difference for the rest of this month is charged now, pro-rated. Cancel it any time from your account.

One-time credit packs: no plan change, no renewal, never expire.
